Assistant, Social Media & Strategic Promo Planning

About the Role

Key Responsibilities

• Process and manage department invoices, expense authorizations, and submissions to Accounts Payable.
• Manage the monthly Social Media Budget and track Expense Authorizations.
• Perform daily auditing of distribution platforms to ensure consistent messaging and capture support highlights.
• Assist in building team documents and templates, and organize team drives for all team materials.
• Work with Social Media agencies to assist with invoice processing and meeting schedules.
• Support the larger Strategic Promo Planning and Social media teams with logistics, travel, and set-up for meetings and activities.
• Assist Social teams with partner and vendor onboarding and evaluations.
• Participate and contribute to team brainstorming sessions.
• Capture detailed notes during meetings and distribute them to relevant team members.
• Interact with internal departments, business partners, and vendors to coordinate marketing activities and logistics.
• Support two VPs with calendar management, travel arrangements, expense reports, and other administrative tasks.

Requirements

• Prior media/marketing experience.
• Exceptional organizational skills with strong attention to detail.
• Ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
• Excellent written and verbal communication skills.
• Strong interpersonal abilities and a collaborative mindset.
• Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
• Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar).
• Interest in the digital media & entertainment space.
