About the Role

Arctic Peak is seeking a Project Specialist/Coordinator with direct knowledge supporting the Department of Energy (DOE) Design/Build Construction Programs. This role provides support in monitoring and ensuring the implementation, execution, and completion of quality business, technical, and financial management tasks related to projects. The position involves working closely with the Project Manager and stakeholders to meet or exceed program objectives, evaluate progress, and ensure compliance and successful project closeout. Key Responsibilities

  • Documentation of job activities and conditions related to design, permits, and regulations in compliance with the scope of the contract.
  • Develop documentation that complies with DOE standards, protocols, and procedures.
  • Monitor and coordinate projects from start to finish by supporting and working cooperatively with the Sr Construction Manager to eliminate blockers in all activities and approvals.
  • Collaborate with Sr. Construction Manager, engineers, architects, suppliers, and contractors to understand project specifications.
  • Review project management procedures including submittals, invoices, RFIs, change orders, and close-out documents.
  • Schedule and facilitate pre-job planning meetings to review estimates, plans, and specifications with relevant stakeholders.
  • Coordinate the submittals of all project documents and ensure timely approval within the project schedule.
  • Set up and coordinate meetings, prepare agendas, send invitations, track responses, and record attendance.
  • Prepare and upload meeting agendas, summaries, and actionable items to DOE and Arctic Peak systems.
  • Review scope and specification revisions for changes in cost and schedule, and manage change-order processes.
  • Monitor weekly reports including subcontractor productivity reports.
  • Update project schedules regularly to reflect scope changes and actual progress.
  • Conduct post-job reviews to identify lessons learned and project successes.

Requirements

  • Proven knowledge and experience supporting DOE projects.
  • BS in Business Administration, Management, or related field, or 3 years relevant field experience.
  • CAPM, PMP, or equivalent certification preferred.
  • Good oral and written communication skills.
  • Experience assisting in general office operations and strong knowledge of MS Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational and time-management skills.
  • Ability to adapt to using construction management tools.
  • Effective interpersonal skills and ability to work independently.

Nice to Have

  • CAPM, PMP or equivalent certification.

Qualifications

  • BS in Business Administration, Management, or related field, or 3 years relevant experience.
