About the Role

The Associate Director, Data Management & Reporting at the University of Texas at Austin serves as a data specialist for the University Events team. The role involves managing and ensuring the accuracy of event-related data, supporting event operations through data organization and reporting, and providing strategic guidance on data collection and systems management to enhance the donor and attendee experience across campus.

Key Responsibilities

  • Create, manage, organize, and ensure the accuracy of mailing lists for all University Events and Experience initiatives and programs across campus.
  • Manage data for audience segments invited to presidential and development events, including identifying, documenting, and maintaining data sources and review timelines.
  • Coordinate correspondence and manage event registration collateral such as name tags, place cards, and table tents, including onsite check-in and registration for university-wide events.
  • Manage event attendee data and assist with reports to identify trends in attendance and giving history using various reporting systems.
  • Create mail merge documents, including envelope templates and address labels.
  • Manage team events tracking spreadsheet and team Outlook calendar.
  • Serve as in-house expert on event technologies including Qualtrics, Event Farm, Cognos, and Tableau for data organization, troubleshooting, and database updates.
  • Standardize RSVP processes to streamline data collection and improve the donor experience.
  • Perform systems analysis and produce reports for university leaders in conjunction with the research team and supervisor.
  • Serve as liaison between University Events and other teams such as IT, Data Quality & Strategy, Reporting, Analytics, and Prospect Research.
  • Create, develop, train, and maintain operations manual for data management practices.
  • Provide strategic guidance on data collection, list building, and RSVP mechanisms to internal and external event teams.
  • Mentor and engage with UEE student worker positions as assigned.

Requirements

  • Bachelor's degree.
  • A minimum of two years of experience assisting with data or performing complex event-related administrative functions.
  • Proficiency in Microsoft Office Suite.
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent customer service skills.
  • Experience working with sensitive information.
  • Excellent organizational skills with attention to detail and resourcefulness.
  • Ability to work effectively in a team-oriented environment.
  • Thrives in a fast-paced, high-stakes environment.

Nice to Have

  • Experience using UT related systems, such as VIP, Box, Tableau, Cognos, Event Farm, and Qualtrics.

Qualifications

  • Relevant education and experience may be substituted as appropriate.

  • Salary starting from $77,000 depending on qualifications.
