About the Role

Hepaco, a Clean Harbors company located in Jacksonville, FL, is seeking a Field Service Specialist to assist the Program Manager and Project Manager with incident assessments, regulatory reporting, and emergency activities. The role involves preparing final documentation for clients, ensuring compliance with SOPs for closure and invoicing, and supporting environmental, energy, and industrial services across the United States, Canada, Mexico, and Puerto Rico. Key Responsibilities

  • Ensure Health and Safety is the number one goal by following policies, processes, and always acting in a safe manner
  • Review projects every day to confirm all regulatory reporting requirements have been completed
  • Work closely with Project Managers to assist them with tasks such as obtaining final documents from contractors, calling regulators for updates, and reviewing projects for closure
  • Compile final documentation and organize it neatly to summarize all work completed on the project for the client
  • Prepare final billing sheet for review and, upon approval, submit the final invoice to the client
  • Assist the call center as backup during high call volume times
  • Answer multi-line telephone system promptly for emergency and non-emergency calls from clients
  • Screen and transfer calls in a high-volume phone environment
  • Answer phones and handle all intake inquiries for incidentals and incident reports
  • Complete phone screenings and assist clients in obtaining needed paperwork
  • On specific accounts, obtain authorization from relevant managers to verify if a spill can be cleaned by the terminal once SDS is obtained
  • Accurately log information from client interactions into ALERT system, including correct grammar, spelling, categories, notes, and comments
  • Provide and maintain excellent customer service and satisfaction
  • Ensure SOPs and client instructions are performed and compliant
  • Identify and escalate calls or emails regarding emergency spill or remedial activities to the appropriate Project Manager
  • Conduct telephonic regulatory reporting across US/Canada to ensure compliance
  • Submit written, telephonic, and online reports to regulatory agencies
  • Communicate effectively with contractors, clients, and regulatory officials through written and verbal means
  • Return all internal and external calls, emails, and facsimiles promptly to address customer concerns
  • Perform other job-related duties as required
  • Log time as 'Billable Hours' to specific projects to cover service costs

Requirements

  • 2 to 3 years of experience in customer service, call center, dispatch, or similar role
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Data entry skills and excellent written and verbal communication
  • 35-40+ WPM typing speed
  • High School diploma or GED
  • Strong time management, attention to detail, and organizational skills
  • Experience in a clerical, administrative, operations support, or call center role
  • Ability to remain calm and confident during stressful situations
  • Ability to adapt to a changing environment
  • Effective communication skills with clients, employees, and outside professionals
  • Ability to manage large volumes of data while meeting deadlines
  • Mature and self-motivated demeanor
  • Professional appearance and demeanor

Nice to Have

  • Previous experience in Environmental Services (remediation, abatement, emergency spill response, etc.)
  • Experience with RCRA, OSHA, and DOT Regulations

Qualifications
