About the Role

The Marketing Assistant is a key member of the marketing team, supporting the firm's growth by executing a wide range of administrative, creative, and technical tasks. This role involves supporting marketing operations, proposals, new business pursuits, event coordination, and team engagement initiatives. The individual will collaborate with cross-functional teams to enhance marketing productivity, visibility, and effectiveness across the Hawaii region, fostering a workplace culture rooted in RLB's core values of Truth, Trust, Together, and Tomorrow. Key Responsibilities

  • Manage vendor communications and coordination for marketing-related services.
  • Maintain organized digital and physical filing systems for marketing inventory, assets, and documentation.
  • Coordinate onboarding procedures, including development and distribution of materials and communications.
  • Coordinate and schedule staff headshots, and maintain an organized, up-to-date photo library for marketing and proposal use.
  • Assist in the planning and coordination of client appreciation and giving initiatives.
  • Register staff for business development and networking events.
  • Process check requests and card payments for event participation and production needs.
  • Support the creation and distribution of internal and external reports.
  • Assist in the preparation of qualifications packages and pursuit-related materials.
  • Coordinate and complete teaming forms, client questionnaires, and compliance documentation.
  • Maintain and update resumes and other collateral to support pursuit efforts.
  • Maintain Project Records in CRM and assist with client and market research.
  • Collaborate with technical staff to gather content and ensure timely, high-quality submissions.
  • Support marketing planning and campaign execution.
  • Assist in developing and formatting technical documents to align with branding standards.
  • Create and update templates for administrative and marketing use.
  • Support marketing outreach through accurate CRM data management.
  • Develop and distribute the weekly internal “Industry Updates” newsletter.
  • Assist in planning, content development, coordination, and providing day-of support for internal and external events.
  • Coordinate logistics, materials, and A/V support for meetings, training sessions, and presentations.

Requirements

  • Bachelor's Degree in Business, Communications, Marketing, or related field (or substitute experience).
  • Minimum of 2 years' experience preferred.
  • Efficient in Microsoft Office including Word, Excel, and PowerPoint.
  • Proficiency in Adobe Creative Cloud Apps, including InDesign.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong ability to prioritize tasks and meet deadlines.
  • Willingness to learn and adapt to new tasks with a solutions-oriented approach.
  • Creative mindset with a passion for storytelling and content creation.

Nice to Have

  • Experience with marketing campaign development and execution.
  • Experience with CRM platforms and client/market research.
  • Ability to develop and format technical documents.

Qualifications

  • Bachelor's Degree in Business, Communications, Marketing, or related field.
  • Minimum of 2 years' experience preferred.
