About the Role

The Program/Project Coordinator in Activations & Operational Integration (AOI) at Stanford Health Care plays a pivotal support role in advancing complex projects across the organization. This position provides administrative and operational coordination to ensure smooth execution of initiatives in core service areas such as clinical and administrative space activations, wayfinding, signage, facilities governance, hospital tours, immersive experiences, and key facilities initiatives. Located in Silicon Valley, Stanford Health Care's mission is to heal humanity through science and compassion, with a fast-paced, tech-savvy, and goal-oriented culture focused on continuous improvement and operational support for non-clinical functions.

Key Responsibilities

  • Manages reporting and ensures company resources are utilized appropriately.
  • Manages project schedules and coordinates departmental project activities, ensuring project phases are documented appropriately.
  • Manages individual projects as they arise and provides direction regarding additional areas of opportunity.
  • Presents results and manages/facilitates individual workshops and committee meetings.
  • Provides leadership and expertise of administrative processes and paperwork flow within Stanford Hospital and Clinics.
  • Coordinates hiring, onboarding, and reviews departmental HealthStream Courses compliance.
  • Oversees equipment and supplies allocation, facilitates inventory reviews, and prepares facility reports.
  • Tracks and presents cost management efforts to departmental staff meetings.
  • Manages events and coordinates requests for support from departments such as communications, housekeeping, engineering, and maintenance.
  • Serves as the STAR representative, coordinating installation and maintenance of data and phone communication.
  • Ensures new hires have resources as needed and participates in assigned projects, completing work within requested timeframes.

Requirements

  • High school diploma or equivalent required; Bachelor's Degree preferred.
  • Two to five years of experience interacting with clients, customers, and/or patients in a complex environment.
  • Extensive knowledge and understanding of hospital and clinic organization preferred.
  • Excellent organizational and problem-solving skills with the ability to prioritize multiple and diverse tasks.
  • Ability to manage multiple changing priorities and work effectively both independently and collaboratively.
  • Demonstrated ability to seek out and obtain information independently.
  • Ability to exercise good judgment and discretion in confidential situations.
  • Excellent written and verbal communication skills.
  • Professional appearance and composure with all individuals including faculty and management.
  • Ability to utilize critical thinking and time management skills to develop effective work plans.
  • Interest and ability to learn new software programs as required.
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint) and familiarity with office equipment such as Meridian phone system, copiers, and facsimile.

Qualifications

  • High school diploma or equivalent; Bachelor's Degree preferred.
