About the Role

The Project Coordinator for Mechanical, Electrical, Civil, & Architectural disciplines supports all phases of project development and implementation for the Bureau of Overseas Buildings Operations, Office of Facilities Management (OBO/FAC). The role involves providing expertise, advisement, coordination, and recommendations to ensure effective facilities operations, compliance with building codes, and successful project execution across various disciplines and levels.

Key Responsibilities

  • Provide expertise, advisement, coordination, and recommendations on all phases of mechanical project development and implementation in support of OBO/FAC.
  • Serve as OBO/FAC Subject Matter Expert (SME) on engineering design reviews, project planning, space planning, building code analysis, and construction design reviews.
  • Advise management and contractors to promote effective facilities operations and agency-specific activities.
  • Develop and review project schedules, track changes, and manage updates.
  • Review planning documents, design concepts, and conduct building code compliance evaluations.
  • Perform peer reviews of plans, specifications, and technical reports.
  • Develop cost-benefit analyses, design life cycle cost estimates, and conduct technical and feasibility studies.
  • Work closely with OBO/FAC and post Facility Managers to ensure contract requirements are followed and report concerns directly to the COR.
  • Identify project alternatives, advise on contractor availability and local assets, and develop action plans for implementation.
  • Ensure all project actions are understood, carried out, and completed in a timely manner following leadership decisions.
  • Assist in preparing reports, papers, and documents for senior leadership, including sensitive documents.
  • Oversee the production of technical information, maintain technical and design standards, and review planning documents.
  • Develop assessments of project effectiveness, identify areas for improvement, and recommend actions.
  • Coordinate complex, high-priority projects involving multiple disciplines and stakeholders.
  • Enlist support from staff to meet project objectives within established timeframes.
  • Ensure project objectives are met, recommendations are practical, and implementation plans are followed up on.
  • Provide technical guidance and training to employees, including annual training for efficiency and compliance.
  • Develop and train personnel on project functions.

Requirements

  • Bachelor's degree; a Master's License in the required discipline will be considered if all other requirements are met.
  • Working knowledge of MS Project.
  • Valid driver's license to operate Mission vehicles.
  • Proficiency in AutoCAD and other visualization software with strong graphic skills.
  • Experience with project management concepts, methods, and best practices for overseeing mechanical projects.
  • Knowledge of regulations governing acquisition of equipment, personnel, and supplies supporting embassy operations.
  • Ability to manage critical, time-sensitive projects requiring extensive coordination across organizations.
  • Effective interpersonal skills to garner cooperation and support for planning, operations, and management initiatives.
  • Ability to work effectively in a multidisciplinary team under stress and tight deadlines with minimal supervision.
  • Excellent oral and written communication skills for planning, organizing, coordinating, advising, and negotiating.
  • Experience levels vary by position: Level I (1-2 years), Level II (2-4 years), Level III (4-7 years), Level IV (7+ years).

Nice to Have

  • Bachelor's degree in Mechanical, Electrical, Civil, or Architectural discipline (preferred).
  • Journeyman License.

Qualifications

  • Bachelor's degree (or Master's License in the discipline).
  • Experience with project management and construction documentation.
  • Knowledge of regulations supporting embassy operations.
  • Proficiency in MS Project and AutoCAD.
