Job Description

About the Role

The Project Management Intern will be part of the Project Management Services team, supporting the planning and execution of community-focused projects aimed at enhancing quality of life and services for communities served by FirstService Residential. This internship provides hands-on experience in project coordination, stakeholder communication, and community management, ideal for individuals eager to learn and develop organizational and communication skills.

Key Responsibilities

  • Assist in the development of project plans by gathering data, organizing documentation, and helping define objectives, timelines, and resource needs.
  • Participate in project kick-off meetings and help prepare materials to ensure clear communication of goals and expectations.
  • Support the tracking of project progress and help identify areas where adjustments may be needed.
  • Work closely with project managers and team members to support day-to-day project activities.
  • Help coordinate tasks and follow up on action items to ensure alignment with project objectives.
  • Assist in preparing updates and communication materials for HOA board members, homeowners, and other stakeholders.
  • Support the tracking of project budgets and expenditures by organizing financial data and assisting with reports.
  • Learn to identify potential project risks and assist in documenting mitigation strategies.
  • Maintain organized project files, including meeting notes, status updates, and planning documents.
  • Help coordinate with public and private agencies by preparing documentation and tracking approvals or permits.
  • Support quality control efforts by helping review deliverables and ensuring they meet project standards.
  • Assist in monitoring adherence to procedures and suggest improvements where appropriate.
  • Provide general assistance with operations to help maintain workflow and meet project timelines.
  • Participate in meetings and work groups to observe and contribute to discussions on project integration, issue resolution, and policy updates.
  • Follow all safety protocols and company policies while performing tasks.
  • Assist with special projects and tasks as assigned, contributing to team goals and learning objectives.

Requirements

  • Familiarity with or interest in learning project management software and tools to assist with planning, tracking, and reporting.
  • Strong interpersonal and collaboration skills, with a desire to work effectively in team environments.
  • Clear and professional communication skills, both written and verbal, with the ability to engage with diverse stakeholders.
  • A proactive mindset with developing problem-solving and critical thinking abilities.
  • Good organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Interest in or basic understanding of HOA industry practices and community management is a plus.
  • Willingness to receive feedback and continuously improve through mentorship and hands-on experience.
  • Demonstrates integrity, accountability, and a commitment to ethical conduct in all tasks.
  • Open to change and adaptable in dynamic environments, with a positive attitude toward learning new processes.

Qualifications

  • Studying in a relevant field (e.g., Project Management, Business Administration, Engineering, Construction Management, Communications) is preferred.
