Workspace Development is our professional services division, providing FF&E project integration, post-occupancy, and MAC management. The Project Planner supports planning and procurement processes, working closely with project teams to ensure project requirements, milestones, and client needs are met, with a focus on quality control and client service.

Key Responsibilities

  • Support planning and procurement processes through management of internal deliverables based on project requirements and client needs.
  • Work closely with Senior Planning Project Manager and internal project team members to understand and build clear expectations surrounding project requirements including milestones, deliverables, and deadlines.
  • Review design and product specifications to ensure customer guidelines, programming, and design language are applied.
  • Review products for guidelines performance, including approvals, sit tests, quality, durability, user experience, and safety.
  • Conduct regular reviews with internal and external project team members to ensure all parties are up to date on revisions and changes.
  • Ensure all quality control practices are implemented per process, including plan to spec, specification review, double checks, and green stamp to assure ordering accuracy.
  • Maintain all critical project documentation for quality control, such as PAL, spec version control, standard count, floor plans, and installation information.
  • Engage in early design reviews to ensure specifications fit project requirements.
  • Consult on conflicts in specifications and facilitate solutions with project team and client.
  • Maintain current knowledge of Client Workplace Guidelines and the Furniture Program to define client expectations.
  • Meet regularly with internal project team to provide updates and manage emerging issues.
  • Gather input from Subject Matter Experts to construct the best outcome for the client and business.
  • Complete project accruals and forecasting, tracking budget and purchase order status.
  • Identify and implement corrections to minimize project errors affecting resources or profit margin.
  • Ensure all internal project stakeholders are informed of project status and assignments.
  • Lead regular internal project team meetings and attend relevant meetings with clients, vendors, architects, and construction management.
  • Produce status updates and timely communications regarding risks or urgent matters.
  • Manage Project Action Log with client and architect/designer.
  • Define project deliverables and deadlines based on project requirements and client needs.
  • Manage project dependencies to ensure coordination and on-time delivery.
  • Identify key risks, develop communication plans, and resolve issues to ensure timely project completion.

Requirements

  • Interior Design, Interior Architecture, Architectural Studies, or relevant degree.
  • 3-7 years of Project Management experience in the design field, or a combination of education and experience to perform essential duties.
  • Understanding of Project Management Principles (PMP).
  • Knowledge in design specification development.
  • Experience in FF&E, including design, specification, sales, procurement, and asset management, is preferred.
  • Proficiency with Microsoft Office products: Outlook, Word, Excel, Teams, and scheduling tools such as MS Project or similar software.

Nice to Have

  • Experience in FF&E procurement, design, sales, or asset management.

Qualifications

  • Relevant degree in Interior Design, Interior Architecture, or Architectural Studies.
  • 3-7 years of project management experience in the design field.
