About the Role

The Senior Program Project Coordinator is a pivotal member of the Operational Excellence team within the Facilities Planning and Design Business Unit at Stanford Health Care. This role provides critical support to vice presidents, directors, managers, and senior project leaders by managing strategic project support, coordinating meetings and events, and overseeing compliance and reporting activities. The position requires a proactive, organized, and detail-oriented professional who thrives in a collaborative, fast-paced environment and demonstrates a strong aptitude for utilizing technology tools within the Microsoft 365 suite to enhance productivity and efficiency. The role involves managing complex organization-wide projects related to space planning, facilities construction, logistics, compliance, and operational planning, as well as independently managing smaller scope projects and ensuring successful project outcomes.

Key Responsibilities

  • Manage multiple administrative and project initiatives, tracking timelines and deliverables to ensure alignment with departmental goals.
  • Monitor and support activities to ensure compliance with regulatory standards and requirements in collaboration with Authorities Having Jurisdiction.
  • Serve as the primary liaison between internal teams, leadership, vendors, and external stakeholders to ensure clear and efficient coordination.
  • Review and process planning and medical space requests, support contractor selection, and maintain accurate business unit and project databases.
  • Assist with governance committee processes, ensuring adherence to requirements and smooth execution of committee functions.
  • Develop and design PowerPoint slides for project presentations, demonstrating proficiency in using PowerPoint to create professional and impactful presentations.
  • Independently manage smaller scale projects and be responsible for project outcomes and successful execution of activations related to openings.
  • Provide direction to project team members, plan day-to-day activities, and ensure team members have necessary tools and processes.
  • Identify task owners, schedule activities, and coordinate project-related tasks from project plans.
  • Identify potential problems or impediments, resolve issues, and keep projects focused on objectives.
  • Develop initial project schedules, resolve scheduling conflicts, and use independent judgment to triage critical issues.
  • Update project status, schedules, issues/risks, and other key information in project management tools.
  • Coordinate and lead project committees, workgroups, and meetings, including preparing materials and overseeing special events.
  • Determine resourcing needs, identify budget issues, and collaborate with Financial Analysts as needed.
  • Maintain communication links, draft communications and newsletters, and track project schedules and deadlines.
  • Maintain document version control and ensure effective communication with all relevant parties.

Requirements

  • Preferred Bachelor's degree or five years of applicable experience from an accredited institution.
  • Preferred experience in project scheduling using tools such as MS Project, Primavera, etc., with 5 years preferred.
  • Experience with medium- to large-scale projects, with at least 3 years required.
  • Excellent communication and project management skills, with at least 3 years required.
  • Expert skill-level in using Microsoft products (Word, Excel, PowerPoint, Visio, etc.), with 7 years preferred.
  • Ability to communicate effectively at all organizational levels and with vendors.
  • Highly multitask-focused with the ability to manage multiple projects simultaneously.
  • Strong problem-solving skills and ability to work under pressure.
  • Ability to manage conflict resolution and adapt in a fast-paced, changing environment.
  • Proficiency with Outlook scheduling, WebEx, Telepresence, and other technology tools.
  • Experience working in a team environment and interacting with senior/executive staff.
  • Ability to manage relationships in volatile environments and lead project teams.
  • Excellent relationship-building and stakeholder management skills.
  • Independent, critical thinker with advanced written and verbal communication skills.
  • Ability to understand and respond to diverse personalities and work styles.
  • Knowledge of resource management, financial, and business acumen.
  • Proficiency in project management information systems and tools to monitor project performance.

Nice to Have

  • Experience with project management tools such as MS Project or Primavera.
  • Experience managing complex, organization-wide projects.

Qualifications

  • Preferred Bachelor's degree or equivalent experience.
  • At least 3 years of experience in project management for medium to large projects.
  • 7 years of experience with Microsoft Office suite.
