AS Project Coordinator/Senior Project Coordinator Job

About the Role

Key Responsibilities

• Facilitates orders, deliveries, schedule, and quality to ensure smooth project flow.
• Communicates professionally and promptly with sales representatives, clients, purchasers, and customers.
• Evaluates daily business efforts and priorities to ensure effective task execution.
• Develops and implements plans and practices to reinforce effective execution of tasks related to product delivery and order management.
• Ensures timely flow of manufacturing components and delivery of products.
• Supports and maintains strong internal team relationships and industry knowledge.
• Completes multiple assignments in parallel with attention to detail and professionalism.
• Oversees quoting and purchase orders for standard products.
• Fields inquiries related to product specifications and technical details.
• Produces order acknowledgements and maintains positive customer relations.
• Enters new customers and generates deposit invoices.
• Opens new jobs in BuilderTrend & PDM.
• Manages incoming orders with unique requirements, controlling project flow from start to shipping.
• Implements new processes and software, and analyzes initial project requirements.
• Communicates with Shipping Coordinator regarding customer shipping requirements.
• Participates in process improvements and internal projects.
• Works with Project Managers to establish project timelines and resolve issues.
• Leads project intake meetings, communicates next steps, and updates customers on fabrication and delivery status.
• Provides guidance to the Project Coordination Team and trains new hires and vendors.
• Communicates shipping dates, potential delays, and tracking information to customers.

Requirements

• BA/BS degree in business, communication, or related field.
• 2+ years of experience in sales, customer service, or sales process improvement.
• Experience working in cloud-based CRM systems (preferred).
• Proficiency in Microsoft Outlook, Excel, and Adobe Suite.
• Strong verbal and written communication skills.
• Effective collaboration and active listening abilities.
• Ability to manage multiple projects with attention to detail.
• Adaptability and quick learning skills.
• Confidence in technical and consultative-sales environments.
• Understanding of the Architecture and Design industry (preferred).

Nice to Have

• Experience in the Architecture + Design field.
• Familiarity with BuilderTrend.

Qualifications

• BA/BS degree in business, communication, or related field.
• 2+ years of relevant work experience.
