About the Role

The Development Project and Administrative Coordinator will lead projects and provide high-level coordination to partner in the identification, engagement, solicitation, and stewardship of major and principal gift prospects for the College of Pharmacy in partnership with the Development and Alumni Engagement Team. This is a 12-month full-time temporary position reporting to the Executive Director of Development and Alumni Engagement, with a requirement to work in the office at least three days per week.

Key Responsibilities

  • Support the team with special projects, events, and fundraising efforts related to the College's 150th Anniversary, the grand opening of the new building, and the Look to Michigan Campaign.
  • Plan and execute small and large-scale donor engagement meetings/events both on and off-campus, including tasks such as pulling lists from databases, generating invitation lists, mailings, menu planning, venue coordination, budgeting, donor outreach, event follow-up, and recording event information in the donor database (DART).
  • Assist Stewardship Officer in maintaining and improving gift processing, acknowledgment letters, and stewardship activities, including preparing and mailing acknowledgment letters and supporting reports for endowments and scholarships.
  • Collaborate with team members to create and execute meaningful stewardship for gifts and milestones such as birthdays, anniversaries, and giving milestones.
  • Assist with solicitation campaigns, including online giving efforts.
  • Liaise with the College of Pharmacy Marketing and Communications Team on projects like alumni newsletters and development proposals.
  • Support development education initiatives for faculty, staff, and students.
  • Coordinate with the Office of University Development on football season activities, including tailgate invitations, parking passes, ticket requests, and related matters.
  • Respond to inquiries from internal and external stakeholders, directing matters appropriately and following up as needed.
  • Reconcile expenses for team members.
  • Develop and implement processes for pipeline development, including tracking and documenting information about students, alumni, donors, and prospects.
  • Ensure development activities are documented in DART, including batch updates and uploading files.
  • Manage donor portfolios by adding reports, planning steps, and opportunities in DART.
  • Assist with donor research and develop personalized prospect lists to identify major gift prospects.
  • Compile reports and analyze data from various sources to support team needs and projects.
  • Generate mailing lists and track marketing efforts for email and print communications.
  • Prepare donor and event briefings for leadership and staff.
  • Provide administrative support to the Executive Director, including managing calendars, scheduling meetings, preparing materials, and coordinating logistics for donor meetings.
  • Handle sensitive inquiries and perform additional administrative duties such as travel coordination, expense management, and scheduling reports.
  • Support colleagues across the College and University, fostering a culture of philanthropy and engaging students, faculty, and staff in fundraising activities.

Requirements

  • Bachelors degree or equivalent education and experience.
  • At least one year of administrative and/or project management experience.
  • Excellent written, oral, and interpersonal communication skills.
  • Proven ability to work independently or as part of a team with diverse constituents in a fast-paced, customer service environment.
  • Strong organizational skills to manage multiple priorities and deadlines, demonstrating mature judgment and flexibility.
  • Commitment to customer service and discretion with sensitive information.
  • Proficient in Google Workspace and Microsoft Office Suite.

  • A track record of successful problem solving with strong analytical skills and follow-through.
  • A high degree of initiative, resourcefulness, and the ability to anticipate needs.
  • Active interest and curiosity in higher education and development work.
  • Familiarity with alumni/donor database systems and the ability to generate comprehensive reports; experience with U-M programs like DART, Business Objects, M-Pathways, Tableau, and Emburse Enterprise is preferred.
  • Prior experience working in fundraising.

  • Bachelor's degree or equivalent education and experience.
