About the Role

The Marketing Operations Specialist will be a key member of our client's marketing team, responsible for managing the end-to-end purchasing process for marketing initiatives and ensuring the secure and compliant onboarding of new vendors. This role requires a meticulous individual with an understanding of marketing operations and a keen eye for detail to ensure accuracy in all financial transactions and vendor relationships.

Key Responsibilities

Facilitate security reviews to ensure they meet established security and compliance standards for contracts with new and existing vendors.
Collaborate directly with vendors to create and finalize insertion orders for advertising campaigns, media buys, and other marketing services, ensuring all terms, conditions, deliverables, and pricing are accurately reflected.
Generate purchase orders (POs) based on approved requisitions and insertion orders, ensuring all necessary stakeholder approvals (e.g., budget owners, legal, executive leadership) are obtained.
Receive and process invoices within the procurement and accounting systems, ensuring they are correctly allocated to the appropriate cost accounts and budget lines.
Resolve procurement and marketing discrepancies (PO, invoice, vendor performance), mediating solutions for billing, service, or quality issues.
Own the cross-functional coordination process and implement improvements as needed.
Develop best practices, document and communicate requirements to the different teams that are involved in the procurement process.

Requirements

Understanding of marketing operations and procurement processes.
Attention to detail and accuracy in financial transactions.
Experience with vendor onboarding and contract compliance.
Ability to collaborate with vendors and internal teams to finalize agreements and resolve discrepancies.
Experience with procurement and accounting systems.
