About the Role

The Project Coordinator at JLL is responsible for managing all financial transactions for a variety of real estate project types throughout their lifecycle. The role requires organization, flexibility, and multitasking skills, supporting activities such as process improvement, financial documentation, communication, and template management. Key Responsibilities

  • Support all financial aspects of assigned real estate projects from initiation to closeout, including processing budgets, commitments, change events, change orders, and invoices.
  • Create, review, and send commitments (Purchase Orders/PO) and vendor change requests (Change Orders/CO) for signature, securing and saving executed copies in client software.
  • Manage cradle-to-grave vendor invoices and applications for payments, including issue resolution and tracking to payment.
  • Monitor and review project health reports, update data as required, and support data accuracy and project status tracking.
  • Support adherence to vendor agreements related to fees and processes.
  • Attend all required trainings and maintain communication with project managers to ensure responsibilities are aligned.
  • Support administrative duties such as document management, onboarding, and training peers.
  • Perform QAQC of backup documentation, cost code utilization, and value matching for change orders.
  • Assist with vendor record updates, access requests, and vendor management activities.
  • Support project closeout activities including financial reconciliation, final lien waivers, and documentation.

Requirements

  • Proficiency in Project Development Services (PDS) technology, client-based project software, Microsoft Office Suite, and Zoom/Teams.
  • Strong accounting and analytical skills.
  • Ability to support multiple tasks simultaneously and maintain data accuracy.
  • Willingness to take on additional stretch assignments and growth opportunities.
  • Experience supporting financial transactions such as purchase orders, change orders, and invoices.
  • Excellent communication skills, both verbal and written.
  • Ability to follow policies, procedures, and document management standards.

Nice to Have

  • Experience in real estate or project management environments.
  • Knowledge of vendor management and legal documentation such as waivers and affidavits.
  • Familiarity with project tracking and reporting tools.
