About the Role

The Project Coordinator plays a critical role in managing construction project documentation and ensuring the smooth execution of multiple, simultaneous projects. The ideal candidate will support the team in the retrieval and input of client utility information and utilize construction tracking software to maintain updated project records. They will develop, track, and process prevailing wage documentation while attending meetings and assisting in determining project requirements. Furthermore, the Project Coordinator will aid in the development and issuance of project proposals, client contracts, RFPs, budgets, and payment applications, coordinating meetings and site visits as necessary. Their role is pivotal in tracking the progress and quality of work performed by various disciplines and trades.

Key Responsibilities

  • Issue, request, and track all required construction project documentation, including proposals, letter of intents, change orders, purchase orders, drawings, submittals, RFIs, invoices, certificates of insurance, and close-out documents.
  • Support retrieval and input of client utility information into company tools and software.
  • Utilize and update construction tracking software and documents.
  • Develop, track, and process prevailing wage documentation.
  • Attend meetings and assist the team with determination of project requirements.
  • Assist the Operations Team in the development and issuance of project proposals, client contracts, RFPs, budgets, schedule of values, and payment applications.
  • Coordinate meetings and schedule site visits as requested by the Operations Team.
  • Assist the Operations Team with tracking progress and quality of work performed by disciplines/trades.
  • Use project scheduling and control tools to assist with monitoring project plans.
  • Effectively and accurately communicate relevant project information to the client and project team.
  • Ensure clients' needs are met in a timely and cost-effective manner.
  • Assist the Operations Team in reviewing and assembling subcontractor quotes to ensure fair and reasonable pricing is recommended for approval.
  • Prepare substantial completion documentation and review and assemble all required project close-out documents.
  • Communicate ideas for improving company processes with a positive and constructive attitude.
  • Keep the Operations Team informed about project documentation status and other issues that may impact client satisfaction.
  • Assist the Operations Team with permitting and jobsite inspection procedures.
  • Perform other duties and tasks as assigned.

Requirements

  • 5+ years of experience as a Project Coordinator within a construction company.
  • Professional experience using MS Office and/or Bluebeam (or similar software).
  • Experience with RFIs, submittals, and other project-related documentation.
  • Superior organizational skills with the ability to multi-task and perform under pressure to meet deadlines.
  • Ability to work effectively in a team environment.
  • Strong analytical and computer skills with attention to detail.
  • Ability to interact effectively across organizational functional roles to achieve goals and meet deadlines.
  • Strong verbal, written, and interpersonal skills.

Nice to Have

  • Experience with construction tracking software and project management tools.
