About the Role

The IT Project Coordinator plays a versatile, enabling role within the IT Project Management Office (PMO), providing administrative and project coordination support across IT initiatives. Reporting to the Director of the IT PMO, this person is a critical team member supporting project managers, project delivery activities, and the operational functions of the PMO. The Project Coordinator will assist with scheduling, documentation, reporting, communications, and general project and portfolio support. In addition, this role provides administrative support to the Process & Governance Office (PGO) as needed, helping to track, document, and facilitate governance-related activities under the direction of the PMO leadership. This position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes initiative to help projects and operations run smoothly.

Key Responsibilities

  • Support project managers with project schedules, meeting coordination, agendas, communications, and tracking actions as needed; creates project templates in PPM.
  • Assist with project status reporting, updates, and dashboard preparation for PMO leadership and stakeholders.
  • Lead and implement coordination efforts required on various projects, including organizing trackers, managing communications, validating equipment, and scheduling vendors.
  • Ensure governance of the PMO is in good standing by tracking metrics and following up with Project Managers.
  • Help maintain project templates, document libraries, and process artifacts to ensure standardization across PMO activities.
  • Assist with onboarding materials and communication tools for PMO processes and resources.
  • Support PMO tracking activities, including project intake requests, project health checks, and general PMO reporting & auditing needs.
  • Collaborate with PMO leadership on continuous improvement efforts to streamline processes, templates, and tools.
  • Provide administrative support to the PGO, such as tracking governance requests, updating process documentation, logging approvals, and preparing meeting materials.
  • Assist with governance meeting coordination, note-taking, and action item follow-up under the direction of PMO and PGO leadership.
  • Help maintain process tracking tools, logs, and resources to support governance documentation and compliance.

Requirements

  • An associate's or Bachelor's degree preferred.
  • 1-3 years of experience in project coordination, project support, PMO operations, or similar roles.
  • Familiarity with IT environments (infrastructure, applications, data, cybersecurity) is a plus.
  • Proficiency in Google Suite and Microsoft Office; experience with MS Project a plus.
  • Strong written and verbal communication skills.
  • Strong customer focus, interpersonal skills, and professional presence.
  • Ability to manage multiple tasks in a deadline-driven environment.
  • Willingness to learn new systems, tools, and processes.
  • PMP, CAPM, or Agile awareness-preferred, but not required.

Nice to Have

  • Experience with MS Project.
  • Familiarity with IT environments such as infrastructure, applications, data, cybersecurity.
  • PMP, CAPM, or Agile awareness.

Qualifications

  • Associate's or Bachelor's degree (preferred).
  • 1-3 years of relevant experience.

  • Base salary range of $47,989.50 - $63,986.00.
  • Eligible for an annual discretionary bonus, targeted at 3%.
