About the Role

The Project Coordinator supports the Project Management teams by coordinating resources, equipment, meetings, and information in a dynamic and fast-paced office environment. This role involves assisting with project schedules, managing supplies and subcontractors, and ensuring smooth project execution. The position offers opportunities for growth and development within F.E. Moran Mechanical Services, a company specializing in HVAC, Mechanical Services, Fire Protection, and related fields across various markets.

Key Responsibilities

  • Assisting and supporting the Project Manager
  • Manage and help drive the change order log - Creation and Submission
  • Understand and assist in driving the project schedule
  • Provide detailed updates to the project managers - Weekly
  • Manage supplies and resources for the field to ensure the tasks are completed in a timely manner within the project schedule
  • Manage sub-contractors - Create POs and schedule
  • Plan and attend meetings, assisting in the organization of projects (more in the field)
  • Order the necessary equipment and material for the project - Needs to match POs
  • Oversee deadlines and workflow
  • Identify ways to increase profitability and reduce costs - set % completion markers
  • Review contract scope/terms & conditions to ensure awareness of risk and expectations
  • Schedule turnover meetings - Review logistics and accountability for project execution
  • Participate in the Contract/Estimating Review Process
  • Create and implement a Close Out Process

Requirements

  • Excellent verbal and written communication skills
  • Strong leadership abilities to provide guidance, feedback, and encouragement
  • Excellent organization and time management skills with the ability to multitask
  • Problem-solving skills to work through and resolve minor issues independently
  • Ability to support project schedules and manage resources effectively
  • Experience in managing supplies, subcontractors, and project documentation

Nice to Have

  • Experience with change order management
  • Familiarity with contract scope and terms review
  • Experience in project scheduling and logistics

Qualifications

  • Experience supporting project management or coordination roles
  • Proficiency in managing project documentation and schedules
