Job Description

About the Role

Under the direction of the Chief of Investigations and Enforcement, the Project Coordinator assists with the logistical and administrative functions related to the day-to-day operations of the Investigations and Enforcement Department (I&E). This role supports the Investigations, Enforcement, and Licensing areas. The ideal candidate is highly self-motivated, detail-oriented, exercises good judgment, and can handle a range of tasks under pressure in a dynamic environment.

Key Responsibilities

  • Monitor department emails and respond in a timely and efficient manner to daily correspondence
  • Manage inspection schedules and review inspection reports for accuracy and completeness
  • Collaborate with other staff to support the planning and logistics of large events such as public meetings with internal and external stakeholders
  • Develop or assist with developing fact sheets, posters, brochures, PowerPoint presentations, and other materials for Commission presentations
  • Arrange and assist committees, advisory groups, and other meetings involving diverse interests and stakeholders
  • Write and produce material for the Commission's website regarding department activities
  • Assist staff at community meetings, networking events, and workforce forums as requested
  • Assist in the collection and management of information for analyzing data, trends, and reporting
  • Provide administrative support work as needed and perform all other duties as assigned

Requirements

  • Bachelor's degree
  • Minimum of 5 years of experience in a high-level administrative position supporting multiple projects and departments
  • Strong administrative and organizational skills with exceptional attention to detail
  • Paralegal or related experience
  • Proficiency in Microsoft Office with advanced knowledge of PowerPoint, Excel, and similar project management tools
  • Excellent oral and written communication skills
  • Ability to work independently in a rapidly changing environment
  • Ability to accept personal responsibility for the quality and timeliness of work
  • Willingness and ability to work at the Commission's Worcester headquarters
  • Ability to spend approximately 15% of the time out of the office and traveling throughout the state

Qualifications

  • Educational background includes a Bachelor's degree
  • Professional experience includes at least 5 years supporting multiple projects and departments
  • Demonstrated excellence in written and verbal communication skills
