About the Role

At Houston Methodist, the Project Specialist position provides analytical and specialized technical support to department management as well as basic financial tracking of department expenditures, processing of invoices as appropriate. This position is responsible for specific moderately complex, project-oriented assignments which include leading, coordinating and completing projects related to operational activities. The Project Specialist position must be resourceful in seeking solutions, be pro-active and have the ability to handle multiple projects at one time with extreme attention to detail. This position works under the guidance and direction of management and is accountable for high-level clerical support functions, project work and compliance activities including analysis, implementation, coordination, and reporting of project activities initiated by or assigned to department. Additionally, this position serves as a resource in facilitating the implementation and/or rollout of initiatives and tracks to ensure implementation is meeting scheduled milestones.

Key Responsibilities

  • Facilitates open, professional communication to achieve mutual understanding and promote work efforts and problem resolution.
  • Participates in, and may direct, problem definition and resolution activities while maintaining confidentiality.
  • Effectively communicates with key contacts to obtain information related to strategic initiatives and presents information to management to support decision-making.
  • Collaborates to foster healthy relationships in the work environment and contributes to improvement of department scores for employee engagement.
  • Conserves management's time by researching, analyzing information, and preparing complex confidential correspondence and presentation materials.
  • Coordinates meetings relevant to project scope, prepares meeting minutes and materials, and maintains confidential documents.
  • Serves as support to interprofessional workgroups, assists during audits, and collaborates with other entity operations staff.
  • Manages and completes projects within the department, tracks and documents data, updates project progress, and maintains accurate records.
  • Performs data analysis, creates reports and spreadsheets, and utilizes technology resources for projects.
  • Ensures quality and timely execution of project deliverables, coordinates multiple deadlines, and maintains associated paperwork and documentation.
  • Assists in the preparation, tracking, and projection of the department's annual operating budget and other activities.
  • Provides monthly reports and verifies transactional accuracy with relevant departments.
  • Identifies learning needs, seeks continuing education, and participates in performance improvement projects.

Requirements

  • Bachelor's degree
  • Two years of experience in a related discipline including one year of project management experience
  • Demonstrates skills and competencies necessary to safely perform the job, assessed through ongoing evaluations
  • Proficiency in speaking, reading, and writing English, especially regarding activities impacting safety or security
  • Ability to effectively communicate with patients, physicians, family members, and co-workers with a customer service focus
  • Strong analytical and interpersonal skills
  • Advanced spreadsheet skills (e.g., pivot tables, v-lookups, managing large data sets)
  • Intermediate word-processing and presentation software skills
  • Strong project and time management skills
  • Resourcefulness, independence, and good judgment
  • Professional handling of confidential information
  • Flexibility and adaptability to changing demands

  • Experience in healthcare or hospital environment
  • Knowledge of budget development and monitoring
