About the Role

The Tamara O'Connor team at Premier Living Properties is seeking a versatile Administrative & Marketing Assistant based in Saint Charles, IL. The role involves managing real estate contract processing, supporting social media marketing efforts to enhance brand recognition, and handling general office duties to maintain a professional and welcoming environment. The position offers full-time hours with a focus on teamwork, effective communication, and community engagement within the downtown St. Charles area.

Key Responsibilities

  • Review and process real estate contracts, addendums, and disclosures for accuracy and completeness.
  • Monitor key deadlines and ensure all contract milestones are met, including attorney review, inspection, appraisal, financing, and closing.
  • Communicate with agents, attorneys, lenders, title companies, and clients to coordinate timelines and resolve issues.
  • Maintain organized digital transaction files and ensure compliance with brokerage and state regulations.
  • Input and manage transaction details in CRM and transaction management platforms.
  • Assist in scheduling inspections, appraisals, final walkthroughs, and closings.
  • Prepare internal compliance checklists.
  • Follow up with clients for post-closing documents and feedback.
  • Assist in creating and scheduling social media content across platforms like Facebook, Instagram, and LinkedIn.
  • Design branded graphics, reels, and stories to promote listings, open houses, team achievements, and market updates.
  • Write captions and use hashtags to boost engagement and visibility.
  • Monitor social media accounts and respond to comments or messages.
  • Update agent bios, contact info, and featured listings on websites and online profiles.
  • Track and report social media metrics to identify trends and engagement opportunities.
  • Collaborate with agents and photographers for media content.
  • Assist with email marketing campaigns, newsletters, and database outreach.
  • Maintain office organization, restock supplies, and ensure equipment functions properly.
  • Perform light cleaning tasks and keep common areas orderly.
  • Welcome visitors and assist with walk-ins or inquiries.
  • Support agents and leadership with errands, events, or special projects.

Requirements

  • At least one year of experience in an office environment handling administrative duties.
  • Knowledge and enjoyment of social media platforms such as Facebook, Instagram, and YouTube.
  • Strong GSuite capabilities.
  • Ability to handle real estate administrative tasks and review contracts.
  • Driver's License (Required).
  • Interest in Real Estate is a necessity.
  • Customer and Team-focused attitude and willingness to help.
  • Interest in learning new skills.

Nice to Have

  • Experience with social media marketing for at least 1 year.

Qualifications

  • Real estate administrative experience (preferred).
  • Social media marketing experience (preferred).
  • Driver's License.
