Senior Marketing Coordinator

About the Role

Key Responsibilities

• Support the creation of proposal responses in collaboration with the West Marketing Team, including understanding and deconstructing RFPs/RFQs, designing proposal layouts, and leading internal teams through proposal development processes.
• Establish and manage proposal schedules and compliance checklists.
• Communicate effectively and collaborate with project managers and technical staff to ensure proposals meet quality standards, deadlines, and pursuit strategies.
• Write, proofread, and edit non-technical content to communicate the firm’s capabilities effectively.
• Coordinate with sub-consultant firms for teaming arrangements and marketing materials.
• Manage various types of proposals, including state and local submissions and qualification packages, and assist in oral presentations.
• Prepare and develop high-quality marketing materials and collateral such as presentations and promotional items.
• Maintain and update information in the CRM database (e.g., Deltek Vision) and the marketing library.
• Support daily operational activities of the marketing team and seek process improvements.

Requirements

• BA or BS in Liberal Arts, Marketing, Communications, English, Business Administration, or equivalent experience.
• 5-6 years of experience developing and producing proposals for the A/E/C industry.
• Effective proposal coordination skills, including planning, organization, communication, and resource management.
• Exceptional written and oral communication skills.
• Experience with state/local proposal formats.
• Strong knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop) and Microsoft Office (Word, Excel, PowerPoint).
• Ability to work within InDesign templates and adhere to corporate standards.
• Strong interpersonal skills and experience collaborating with multi-disciplinary teams.
• Ability to manage time effectively and work overtime as necessary to meet deadlines.

Nice to Have

• Customer relationship management (CRM) database experience.

Qualifications

• BA or BS degree in relevant fields or equivalent experience.
• 5-6 years of proposal development experience in the A/E/C industry.
