Key Responsibilities

  • Provide administrative support for the Department Head and the department, including scheduling meetings, managing calendars, booking travel, processing expense reports, welcoming visitors, invoicing, and mailings.
  • Create and design digital e-blasts and marketing materials for distribution to partners weekly.
  • Compile and maintain the department's asset library, including audio files, writer/publisher info, metadata, lyrics, artwork, by coordinating with various departments.
  • Gather assets needed for pitches and blasts.
  • Assist with compiling curated playlists, creative briefs, and proactive pitching requests.
  • Know the Warner Records song catalogs thoroughly and stay current with new signings and songs.
  • Research brands and ad campaigns, and pitch for opportunities.
  • Attend and take notes during artist and brand meetings.
  • Liaise with internal departments to gather artist information.
  • Coordinate ticket solicitations and communications for the department.
  • Update and maintain contact lists, release schedules, rosters, reports, and documents.
  • Track upcoming music releases and coordinate advances for the sync team.
  • Attend marketing meetings and communicate key release/project info with the team.
  • Help oversee, hire, and manage the department's internship program.
  • Represent the team and work at brand events such as concerts, showcases, listening events, and mixers, including after hours.

Requirements

  • Bachelor's degree is strongly preferred.
  • Highly organized and very detail oriented.
  • Strong verbal and written communication skills.
  • Excellent at time management, with a robust work ethic and high attention to detail.
  • Creative problem solver who is proactive, strategic, and analytic.
  • Self-starter, self-motivated, and responsible for tasks.
  • Detailed knowledge of Canva and DISCO.
  • Experience in creating visually compelling reports and creative decks.
  • Flexibility and adaptability to changing situations.
  • Ability to anticipate needs and create efficient processes.
  • Understanding of handling and safeguarding confidential information.
  • Proficiency with Google Workspace.
  • Genuine love of music sync, active concert goer, and music listener.
  • Willingness to attend events after hours.

Nice to Have

  • Previous industry experience in sync licensing, music supervision, or an administrative position in entertainment.
  • Thorough understanding of sync licensing and publishing.
  • Passion for music and entertainment.
  • Enjoyment of concerts, making playlists, and sharing music.
  • Understanding of social media platforms for promotion.
  • Natural affinity toward pop culture.

Qualifications

  • Educational background with a preference for a Bachelor's degree.
