The Senior Project Manager role involves driving all inputs for exhibit and event environments, overseeing aspects from architectural design to installation, and supporting our Operations team at our Philadelphia headquarters.

Key Responsibilities

  • Interface with customers in person, electronically, and via phone regarding their event and exhibit requirements.
  • Coordinate with various internal departments, including operations and sales, to accomplish project goals.
  • Work with outside vendors to achieve project objectives.
  • Collaborate as part of an internal sales team consisting of an Account Executive and Account Manager.
  • Author project management documentation such as estimates, labor projections, show services estimations, shop labor schedules, and research 3rd party vendors.
  • Manage each job through proposal, design, contract, production, graphics, service requirements, transportation, and invoicing, keeping all departments updated.
  • Handle vendor payments by submitting invoices for payment.
  • Manage cost to revenue ratios to meet financial goals.
  • Input data into company databases to track all job details for proposed and sold projects.
  • Communicate schedule conflicts with relevant parties.
  • Research and provide detailed information on 3rd party vendors.
  • Inspect and receive exhibit assets for accuracy and damage, and prepare properties prior to shipping.
  • Work with various building materials such as wood, plastics, fabric, electrical, metal, Octanorm, and lighting.
  • Create show site information and I&D packets for field teams.
  • Coordinate with show site installation and dismantle labor teams.
  • Travel up to 25% for site installations.

Requirements

  • Bachelor's degree or similar equivalent experience.
  • Minimum of 5 years managing custom-built exhibits and events from inception to completion.
  • Proficiency in project pricing, purchasing, and vendor negotiations.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work with diverse personalities across sales, design, engineering, production, and construction teams.
  • Ability to read blueprints and possess a working knowledge of architectural millwork.
  • Proficiency in Microsoft Office.
  • Willingness and capability to travel for site installations.
  • Experience in estimating construction build items and site services including labor, lighting, rigging, electrical.
  • Knowledge of planning systems, scheduling techniques, process management, workflow, and team coordination.
