About the Role

The Marketing Operations and Business Affairs Manager at Beacon Hill Staffing Group, LLC is responsible for supporting the creative team with licensing and contract business needs, managing resources and contracts, and ensuring compliance across various operational processes. This role is remote, working EST hours, and involves collaboration with multiple departments to streamline workflows and manage vendor and talent relations within a marketing agency environment.

Key Responsibilities

  • Draft, review, and negotiate contracts, statements of work (SOWs), non-disclosure agreements (NDAs), talent releases, and vendor agreements.
  • Track contract milestones such as renewals, option periods, and payment terms, and flag upcoming deadlines.
  • Collaborate with Finance and ECD to manage freelance budgets, track annual spend, and generate purchase orders for freelance hires.
  • Review invoices from vendors, talent, and production partners for accuracy and compliance with negotiated rates.
  • Coordinate rights and clearances for music, stock imagery, footage, trademarks, and talent likenesses, maintaining proper documentation and renewal schedules.
  • Serve as the business-affairs point-of-contact for vendors and talent representatives, negotiating rates, delivery schedules, and usage rights.
  • Monitor adherence to internal policies and external regulations, flagging and escalating potential risks such as budget overages or regulatory issues.
  • Identify bottlenecks in contract turnaround, invoicing, or clearance workflows and recommend process improvements.
  • Implement and maintain trackers, templates, and SOPs to streamline operations.
  • Partner with Creative, Account Management, Production, and Proofreading teams to align on timelines, deliverables, and contractual requirements.
  • Generate reports on contract statuses, spend forecasts, and clearance inventories, and maintain organized digital documentation.

Requirements

  • Experience supporting a creative team on licensing and contract business needs.
  • Ability to draft, review, and negotiate contracts, SOWs, NDAs, and vendor agreements.
  • Experience managing budgets, tracking spend, and generating purchase orders.
  • Knowledge of rights and clearances for music, imagery, footage, trademarks, and talent likenesses.
  • Strong vendor and talent relations skills, including negotiation of rates and usage rights.
  • Understanding of compliance and risk management related to advertising, data privacy, and regulatory standards.
  • Excellent organizational skills to maintain documentation and workflows.
  • Ability to collaborate cross-functionally and communicate effectively with multiple teams.
