We are seeking a highly motivated, organized, and ambitious Marketing Operations Manager to join our team, reporting to the Chief Marketing Officer, based in San Jose, CA. This role offers exposure to senior leadership, complex business challenges, and the inner workings of a global marketing team, providing a foundation for growth into more advanced marketing roles.

Key Responsibilities

  • Partner with the CMO and marketing leadership team to organize and track key priorities and projects.
  • Support the planning and coordination of leadership meetings, offsites, and marketing-led corporate events.
  • Own the logistics and preparation of meeting materials, agendas, notes, and follow-ups to keep leadership aligned and accountable.
  • Help drive action on department-wide initiatives by keeping cross-functional projects on track and identifying roadblocks.
  • Provide general problem-solving support and connect the dots across projects and teams.
  • Support development of presentations and board materials.
  • Proactively manage the CMO's calendar, ensuring effective prioritization across strategic work, meetings, and engagements.
  • Coordinate complex scheduling needs across time zones and stakeholders.
  • Handle expense management for the CMO, including preparing expense reports and overseeing approvals.
  • Provide administrative support such as coordinating travel, managing event registrations, and handling confidential information.
  • Manage marketing budget operations, track spend, manage purchase orders, and process invoices.
  • Monitor budget health by reconciling actuals against plans and identifying risks or opportunities.
  • Track and summarize key marketing metrics and milestones, produce monthly reports on OKRs and scorecards, and coordinate weekly updates.
  • Draft internal communications, leadership updates, and presentations in partnership with the CMO and communications team.
  • Support coordination across departments to keep marketing aligned with broader business objectives.
  • Organize team-building events, recognition programs, and development opportunities.
  • Act as a culture ambassador for the marketing team, gathering feedback and helping implement engagement initiatives.

Requirements

  • Minimum 7 years of professional experience in a fast-paced environment, ideally in marketing, business operations, executive support, or project management.
  • Experience managing complex calendars and schedules for senior executives.
  • Experience with expense reporting, travel coordination, and administrative activities.
  • Experience with budget tracking, purchase order management, and invoice processing is a plus or willingness to learn.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • High level of discretion and professionalism when handling sensitive information.
  • Proficiency in Microsoft Office (PowerPoint, Excel, Word).
  • Enthusiasm for AI tools.
  • Bachelor's degree preferred (business, marketing, communications, or related field), but equivalent experience is also valued.
  • Ability to work proactively, handle ambiguity, and shift priorities as needed.
  • Strong ownership, hustle, and problem-solving mindset.

Benefits & Perks

  • Salary range of $118,900 to $171,100 per year.
