Marketing Team Coordinator

About the Role

Key Responsibilities

• Support VP, Corporate Marketing including managing calendar, scheduling meetings and booking travel.
• Oversee the Ad Prom (promotional review) process for Corporate Marketing materials, including entering materials into the online platform, tracking review status, and following up with reviewers to ensure progress.
• Engage others on the team to help with resolution of comments from reviewers.
• Manage department budget, working closely with Finance to ensure tracking to forecast, create purchase orders, and track invoices for recurring expenses.
• Work with suppliers to get needed documentation to process purchase orders and invoices.
• Manage tradeshow budget, including tracking all expenses per event and processing expense reports.
• Assist with tradeshow planning, including sending registration requests, booking hotel room blocks, reserving booth spots, and completing internal approval processes.
• Build PowerPoint presentations on various topics using content provided by the team.
• Support departmental projects and coordinate meetings and events, which could include in-person, virtual, or mixed formats.

Requirements

• High school diploma required; Associate or Bachelor's degree preferred.
• Deep knowledge of Outlook calendar management/scheduling, Teams meetings, Word, Excel, and PowerPoint.
• Experience with CVENT, Coupa, and Concur is a plus.
• Highly proficient in invoice and PO processing.
• Ability to navigate a matrixed organization and manage internal and external business partners with competing priorities.
• Strong attention to detail and ability to anticipate future requests.
• Excellent problem-solving abilities and a proactive approach in a dynamic setting.
• Ability to work independently and identify proactive solutions to complex situations.

Nice to Have

• Experience with CVENT, Coupa, and Concur.

Qualifications

• High school diploma required.
• Associate or Bachelor’s degree preferred.
