About the Role

Reporting to the Strategic Projects Manager, the Program Manager leads key organization initiatives for Stanford Blood Center. Program Managers are responsible for the coordination and completion of all aspects of project management on assigned projects, including project scope, schedule, budget, plans, facilitating meetings, documenting requirements, overseeing development, operational workflows, and implementation. They support program management activities to ensure projects are on time, within scope, and within budget, acting as the point of communication with stakeholders and being accountable for project delivery and success. The role requires good communication skills to liaise between project teams, subcontractors, customers, stakeholders, and leadership.

Key Responsibilities

  • Implement strategic initiatives from inception to closure, ensuring project completion within scope, schedule, and budget.
  • Conduct project intake, assessments, develop project teams, define objectives and scope, document processes, risks, and assumptions, and oversee development, workflows, and implementation.
  • Develop and maintain relationships with project owners, operational leaders, business services, IT, vendors, and stakeholders.
  • Define project scope, duration, resources, and costs; communicate roles and expectations; serve as the initial contact for projects.
  • Coordinate with cross-functional teams on project budgets, status, and issue resolution.
  • Complete and manage detailed project plans using designated tools; develop work plans and negotiate resource allocations.
  • Follow standard work/processes, develop documentation, and provide input for scope, schedule, and budget tracking.
  • Track milestones, anticipate deadlines, assign responsibilities, and monitor progress.
  • Organize, delegate work, and utilize project management tools to report status, manage issues, risks, and escalations.
  • Prepare reports and communication plans for leadership; develop and train staff on project management methods.
  • Support process improvements and strategic initiatives to enhance operational efficiency, incorporating Lean practices.
  • Support project-specific managers to ensure projects meet time, scope, budget, and quality goals.
  • Assist in project portfolio management, prioritize projects, and develop mitigation strategies for potential issues.
  • Manage project portfolio changes and report on key performance metrics.
  • Ensure compliance with health, safety, privacy, and security policies, including handling sensitive information appropriately.
  • May be required to work in areas with potential exposure to bloodborne pathogens.

Requirements

  • Bachelor's degree in science, business, or a related field.
  • 2+ years to 3 years of project management leadership experience.
  • Ability to lead small and large teams in a matrix environment.
  • Experience developing and managing project management frameworks and methodologies.
  • Strong strategic and analytical thinking skills.
  • Ability to identify issues, risks, and escalate appropriately, validate conclusions, and develop resolutions.
  • Ability to manage a significant workload, prioritize projects, and work independently.
  • Advanced proficiency with MS Office Suite (Excel, Word, PowerPoint, Visio) and SharePoint.
  • Basic experience with business case preparation and cost-benefit analysis.
  • Demonstrated ability to establish priorities and meet deadlines.
  • Strong communication, presentation, and facilitation skills.
  • Moderate proficiency with Microsoft Project, Primavera, or other PPM tools.
  • PMP certification preferred.

  • Experience working in Healthcare, an Academic Medical Center, or a highly regulated industry.
