About the Role

The Student Account Specialist is responsible for coordinating student tuition and fee billing, processing payments, reconciling accounts, and assisting students, parents, faculty, and staff with account inquiries. This role is highly customer-focused and supports the College's financial operations under the supervision of the Student Accounts Supervisor. The position involves ensuring accurate billing, payments, and account adjustments, while promoting a welcoming environment and contributing to the College's strategic goals.

Key Responsibilities

  • Responsible for the processing of student billing, maintaining auto-billing tables and refund schedules in the Colleague system and updating student billing on a weekly basis.
  • Provide information and answer inquiries from students, parents, faculty, administration and staff relating to student accounts and billing.
  • Receipt and reconcile online payments on a daily basis.
  • Reconcile credit card, check and cash receipting daily.
  • Receipt student account monies on a daily basis with quality customer service and professionalism.
  • Receipt monthly collection payments and reconcile collections accounts.
  • Process student refunds on a weekly basis.
  • Prepare direct billing statements for all sponsor billing and special billing statements for students as requested.
  • Adjust student accounts for special billing such as parking fines, library fines, policy violations, and late payment fees.
  • Send out delinquent statements on a monthly basis.
  • Post Financial Aid awards to student accounts.
  • Add and release holds prior to semester registration and graduation.
  • Participate in new student orientation events.
  • Assist in the annual preparation of the IRS 1042-S and 1098-T tax forms.
  • Demonstrate a strong commitment to continuous quality improvement.
  • Support the College's mission, mission and values, and contribute to the advancement of the College's Strategic Plan.
  • Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College.
  • Perform other duties as assigned.

Requirements

  • Ability to quickly grasp knowledge of the College organization and operation, in particular, cashiering, accounts receivable and/or accounts payable procedures.
  • Ability to deal with numerous transactions, in various stages of completion, concurrently, in an environment where interruptions regarding requests for information are routinely experienced.
  • Well organized, detail oriented, flexible and able to effectively prioritize tasks.
  • Excellent interpersonal skills in dealing with persons both internal and external to the College, on the telephone, in person, and via e-mail.
  • Ability to work effectively as a member of a small staff where teamwork and cooperation are the rule.
  • Knowledge of and ability to use computer-based systems including database management, spreadsheet applications and word processing.
  • Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards.
  • Ability to apply mathematical skills necessary for extending quantities, performing calculations, and analyzing data.
  • A high school diploma is required.
  • Some college-level training in accounting, with experience in cashiering, accounts receivable and/or accounts payable, is preferred.
  • At least two years' experience in general office/clerical, accounting and customer service.
  • Experience with Ellucian Colleague and/or TouchNet payment systems is preferred.
  • Employment is contingent upon successful completion of the College's background screening process.
