About the Role

The Assistant Director for Special Events and Protocols is responsible for assisting the office in advancing excellence through effective planning, development and execution of the University's signature events and other President-hosted events. This position supports event communications, manages logistics, attends events, and serves as the keeper of the University Calendar, contributing to the overall promotion and coordination of campus activities.

Key Responsibilities

  • Collaborates with department staff, administration, faculty, and staff to learn about campus activities and programs to ensure communications support the University's strategic goals, mission, and brand.
  • Supports event coordination and management, including logistics and communications, as assigned by department leadership.
  • Attends events identified by department leadership to oversee execution.
  • Assists with managing event communications projects, including printed invitations, programs, advertisements, signage, calendar listings, web content, and social media promotion.
  • Coordinates with department members and campus colleagues to ensure seamless event execution.
  • Ensures integration of printed and electronic communications with online content on the University's website, campus calendar, and social media.
  • Collaborates on opportunities to utilize video and social media to promote campus events.
  • Manages the University Calendar, ensuring entries are complete, accurate, and follow style guidelines.
  • Coordinates and manages special events, web, media, and publication activities, including processing web calendar events.
  • Photographs events for documentation to be used in printed and electronic materials.
  • Contributes to department projects and initiatives, and performs other duties as assigned.

Requirements

  • Bachelor's degree from an accredited college or university; degree in communications or a related field preferred.
  • Three (3) years of communications or event experience with proven organizational, written, and oral communication skills.
  • Must clear and maintain a favorable background investigation and clearance.
  • Valid driver's license, motor vehicle liability insurance, and personal injury insurance, or self-reliant transportation.
  • Advanced skills in MS Office (Word, Excel, PowerPoint).
  • Experience with virtual meeting platforms such as Zoom.
  • Proficiency with WordPress and basic HTML for web edits.
  • Preferred proficiency in Photoshop, InDesign, Illustrator, Adobe Premiere or similar video editing software.
  • Ability to demonstrate creativity, self-initiative, and high ethical standards.
  • Strong organizational skills, ability to prioritize multiple deadlines, and thrive in a complex environment.
  • Excellent writing, editing, proofreading, analytical, and verbal communication skills.
  • Strong public relations and customer service skills with diplomacy and discretion.
  • High attention to detail and ability to coordinate multiple projects simultaneously.
  • Flexibility to respond quickly to various situations and possibly work more than 40 hours per week.
  • Demonstrated experience coordinating successful high-profile and individual events.
  • Bilingual in English/Spanish preferred.

Nice to Have

  • Proficiency in Photoshop, InDesign, Illustrator, and Adobe Premiere or similar video editing software.
