About the Role

The Marketing Operations Specialist - Intake & Asset Management is a key member of the in-house Creative Studio within the Brand Marketing team at Fairview Health Services. This role focuses on streamlining operations by managing project intake processes and owning asset organization, accessibility, and governance. The specialist works closely with Creative, Marketing, Communications, and Digital teams to ensure projects are efficiently managed and assets are organized, accessible, and aligned with brand standards. The position involves managing Digital Asset Management (DAM) platforms, driving adoption, implementing best practices, and training users to maximize efficiency, engagement, and compliance, particularly within a healthcare environment.

Key Responsibilities

  • Manage project intake process by centralizing and organizing Marketing and Creative Studio requests into project management system/tool.
  • Develop, implement, and maintain a robust DAM system supporting Marketing, Digital, Communications, and Creative teams.
  • Organize and manage a large backlog of video files, images, design assets, and marketing materials to ensure accessibility and efficiency.
  • Develop and enforce metadata structures, taxonomy, tagging, and naming conventions for quick and accurate asset retrieval.
  • Monitor system performance, troubleshoot issues, and coordinate with DAM vendors or IT teams to ensure optimal functionality.
  • Drive DAM platform adoption by training users on best practices, workflows, and efficiency techniques.
  • Partner with marketing, creative, and production teams to ensure assets are correctly cataloged and stored for long-term usability.
  • Manage user roles, permissions, and governance policies to ensure security and compliance.
  • Establish key performance metrics to track system effectiveness and user engagement.
  • Work with external agencies, photographers, and video producers to ensure proper asset intake and management.
  • Stay current with emerging trends in digital asset management, AI-powered tagging, and workflow automation to enhance the system over time.

Requirements

  • 3-5 years of experience managing DAM platforms (e.g., Bynder, Widen, or similar).
  • Proven experience implementing metadata structures, taxonomy, and governance policies for large-scale asset libraries (1,000+ assets).
  • Excellent organizational skills to manage and structure a backlog of video files, graphics, and diverse asset types.
  • Ability to train and onboard teams, driving adoption of DAM best practices across departments.
  • Experience in troubleshooting DAM-related technical issues, coordinating with IT or vendors for resolution.
  • Strong understanding of content lifecycle management, digital rights management, and compliance considerations.
  • Expertise in project management tools (e.g., Asana, Trello, Monday.com) for asset-related workflows and project management.
  • Experience working in media, marketing, or creative industries with a focus on asset organization and retrieval efficiency.
  • Creative and innovative mindset with a passion for healthcare.
  • Ability to manage multiple projects in a fast-paced, deadline-driven environment and handle multiple priorities and stakeholders.
  • Demonstrated ability to deal with ambiguity and manage through it.
  • Knowledge of design principles, brand consistency, and storytelling in content creation.
  • Strong attention to detail and commitment to high-quality work.
  • Excellent organizational, problem-solving, and communication skills.
  • Build strong relationships and instill trust with internal stakeholders, external vendors, and leadership teams.
  • Work independently and collaboratively, making data-driven decisions to optimize content production efforts.
  • Proficiency in Project Management tools (Asana), Asset Management Tools, and Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint, Outlook).

Nice to Have

  • Familiarity with healthcare marketing regulations (HIPAA compliance, patient-sensitive content).
  • Knowledge of digital marketing platforms, social media, and content management systems.
