About the Role

The role of Sample Coordinator (Marketing, Ecom and Photography Studio) is to work closely with the Sample Team Manager, Peer Sample Coordinators, Photography Studio Team, Digital Team and Merchants to ensure continuous accuracy and timely flow of samples used for advertising production, eCommerce production, and other projects. This individual is responsible for ensuring that all needed assets and resources are identified and processed accurately to successfully meet the project schedule.

Key Responsibilities

  • Ensure continuous accuracy and timely flow of samples for all Marketing or Ecom projects depending on assigned media.
  • Streamline sample handling across multiple media channels, ensuring samples are tracked and deadlines are met for availability on set.
  • Ensure proper sample management through correct barcoding of samples and validation of style information in Workhorse.
  • Capture thumbnail pictures for each sample submitted at Turn-In to verify correct samples and eliminate reshoots.
  • Maintain organization in Sample Processing areas through processing of Outbound and Inbound Shipments, including scanning, boxing/unboxing, and sorting, and ensure corporate samples are returned to merchants weekly.
  • Participate actively in Marketing and Ecom Turn-Ins by receiving, processing, and resolving discrepancies for all assets needed for each shot, and communicate issues to the Sample Manager.
  • Manage Sample Queue to eliminate Aged Samples and communicate Rejected Samples.
  • Understand the impact of sample management in the Marketing Production process and act as a solution-based problem solver in partnership with the Manager, Marketing & Ecom Sample Team.
  • Execute other projects as assigned by the Manager, Marketing & Ecom Sample Team.

Requirements

  • Performs other duties as assigned and complies with all policies and standards.
  • Bachelor's degree in business, marketing, fashion, or retail studies preferred.
  • Experience in retail or fashion education preferred.
  • Good written and verbal communication skills, interpersonal and negotiation skills.
  • Ability to work with PC and Mac, MS Excel, and learn other necessary computer programs.
  • Capacity to operate successfully in a fast-paced, changing environment and make fact-based decisions quickly.
  • Proven ability to work on multiple projects simultaneously, establish priorities, and meet deadlines.
  • Aptitude for finding creative solutions to complex problems.
  • Ability to work with little supervision and possess good organizational skills; detail-oriented.
  • Physical ability to lift up to 25 pounds.

Nice to Have

  • Experience working within a team and good team-building skills.

Qualifications

  • Bachelor's degree in business, marketing, fashion, or retail studies (preferred).
